SWWA Synod Mass Email Changes
The Southwestern Washington Synod is changing how we use email, and it’s on purpose!
For many years, most synod communication went out as one big weekly newsletter to the entire list, plus a steady stream of extra emails whenever something new came up. Important things were shared, but it also meant:
- Leaders had to dig through long messages to find the 2–3 items they really needed.
- Members in the pews had to wade through leader-only content to get to stories and events.
- Ministry partners and teams weren’t always sure where their updates fit.
As our shared life has grown more complex, that “everything in one email, whenever we have it” approach has quietly created confusion, fatigue, and missed opportunities.
So we’re doing something different.
We are moving to a simple, predictable rhythm of distinct newsletters—each with a clear purpose, a consistent shape, and a specific audience. Instead of one overflowing inbox, you’ll see several focused touchpoints throughout the month.
Below is an overview of how the synod now communicates through mass email and what you can expect.
Our New Monthly Email Rhythm
1. First Tuesday/Wednesday: Synod News
What it is:
Synod News is the general enews for our whole synod community. Its purpose is to give everyone—leaders, worshipers, partners, and neighbors—a clear view of what’s coming up and how to participate in the shared life of the Southwestern Washington Synod.
What you’ll find:
- Upcoming synod events open to a general audience
- Basic details and registration links
- Occasional feature stories or highlights
- Job openings across the synod
- “Free to a good home” items and shared resources
- Key deadlines (assembly, forms, grants, nominations, etc.)
- Synod-wide announcements and statements
Over time, we hope more people in the pews will subscribe to Synod News so they can see and share what God is doing across our territory, not just in their own congregation.
2. Second Tuesday/Wednesday: Stories of Ministry
What it is:
Stories of Ministry is a monthly deep dive into one clear, hopeful story of God’s work in and through the Southwestern Washington Synod.
What you’ll find:
- One primary story from around the synod
- Photos that show faces, places, and ministry in action
- A short, human narrative: what’s happening, who’s involved, why it matters, and where we see God at work
- Sometimes a brief reflection or invitation to pray, give thanks, or consider similar ministry in your own context
This email is about depth, not breadth. One story, well told.
Synod staff and leaders hear wonderful stories every day. When they notice something that should be shared more widely, they connect that ministry with our storyteller, who conducts a short interview and shapes the story for both the website and this email.
3. Third Tuesday/Wednesday: Ministry Area/Teams Update
What it is:
This email focuses on one synod ministry area or team at a time. Its purpose is to highlight the work, priorities, and invitations of that ministry so the wider community can understand and connect with it.
What you’ll find (some mix of):
- Promotion of upcoming workshops, forums, learning series, or campaigns
- A story or snapshot from that ministry area
- Brief teaching or “what you need to know” about that area of ministry
- Practical suggestions for how congregations can engage
- Introductions to the team and ways to connect or participate
- Links to resources, liturgies, study materials, or toolkits they’ve created
Each ministry area is assigned a month to share its update. Before their month, they receive guidance and deadlines, then send their content to the synod office for formatting and scheduling.
4. Third Thursday: Synod Leader News
What it is:
Synod Leader News is specifically for congregational leaders. Its purpose is to equip them to lead well, stay informed, and communicate clearly with their communities.
What you’ll find, usually in two main sections:
- For You as a Leader
- Rostered leader gatherings, trainings, retreats, and meetings
- Leadership resources, synod guidance, and key tools
- Administrative and operational updates (mileage rates, policies, forms, reporting dates, compliance reminders)
- For You to Share with Your Congregation
- Announcements we hope to see in bulletins, websites, and social media
- Congregation-facing synod events and campaigns
- Simple, copy‑and‑paste blurbs leaders can drop directly into their own communications
There may also be prayer requests and quick “don’t forget” items that affect governance, finances, HR, or other leadership responsibilities.
By separating “for you as a leader” from “for you to share,” we hope to make it easier for leaders to both stay informed and pass along what matters most to their congregations.
5. Fourth Tuesday: Ministry Partner Spotlight
What it is:
The Ministry Partner Spotlight lifts up one partner organization at a time so the synod community can better understand their work and how to engage with them.
What you’ll find:
- A feature story about one ministry partner—who they are, what they do, and where they serve
- How they connect to or serve alongside the SWWA Synod
- Photos from the partner whenever possible
- A short list of upcoming events that are open to the synod
- Ways to get involved (volunteering, learning, advocacy, etc.)
- Direct links to give or learn more
Each partner is assigned a month and receives clear guidelines. They provide their story, photos, and key links; the synod office formats and sends the email on the assigned date.
Why This Change Matters
Moving from weekly “everything to everyone” emails to this monthly rhythm of distinct newsletters is about more than organization. It is part of becoming a better synod for the people we serve.
This approach helps us:
- Honor people’s time and attention. Each email has a clear purpose. Readers can tell at a glance what it is for and whether it is meant for them.
- Serve leaders more effectively. Leader‑specific content is no longer buried under general announcements, and congregation‑facing content is easier to share.
- Lift up stories of ministry. Stories of God’s work are no longer squeezed between registration links and deadlines; they have room to breathe and inspire.
- Strengthen partnerships. Ministry partners and teams have dedicated spaces to tell their stories and invite participation.
- Build trust over time. As the rhythm becomes familiar, people will know what to expect from each email and how to use it.
Our hope is that these emails become regular touchpoints of connection, encouragement, and shared mission—not just information dumps.
How to Stay Connected
If you’d like to receive these emails:
- Watch for sign‑up opportunities at synod events, in bulletin inserts, and on posters that include a QR code for subscribing.
- If you participate in synod events, you may be added to the list automatically.
- Congregations, ministry teams, and partners are encouraged to add their own lists to the synod lists at least once a year so more people can stay connected.
As we live into this new pattern, there will be adjustments and learning along the way. But the goal is simple: clearer communication that helps all of us see, support, and join in what God is doing across the Southwestern Washington Synod.
